Job Description

Minimum 2–4 years’ Administrative UAE Experience

Key Responsibilities

  • Provide administrative support to onsite operations to ensure smooth day-to-day functioning.
  • Maintain and organise operational and administrative documentation (soft and hard copy).
  • Coordinate with internal departments (HR, HSSEQ, Operations, Finance) for administrative requirements.
  • Manage office supplies, inventory and procurement requests in line with company procedures.
  • Support onboarding formalities for new employees, including documentation and coordination.
  • Assist in scheduling meetings, preparing minutes of meeting and tracking action items.
  • Ensure proper filing, tracking and archiving of company documents in line with internal policy.
  • Maintain up-to-date records of employee data, contracts, permits and operational documents.
  • Support audits by preparing and providing required documentation.
  • Track expiry of licenses, permits and contracts; ensure timely renewals.
  • Act as point of contact for internal administrative queries and support requests.
  • Coordinate with external vendors, service providers and government entities when required.
  • Ensure timely communication and follow-up with relevant stakeholders.

Key Competencies

  • Bachelor’s degree in Business Administration or a related field; a certification in office management is an advantage.
  • Minimum 2–4 years’ administrative experience, preferably in logistics, industrial or operations settings.
  • Strong organizational and time-management skills; attention to detail.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); familiarity with ERP systems (e.g. RAMCO) is an advantage.
  • Effective written and verbal communication in English; additional languages an advantage.
  • Ability to handle multiple tasks, maintain confidentiality and work in a fast-paced, multicultural environment.
